Importing multiple users into the Snapplify system is a quick and efficient process when done correctly. However, it's crucial to follow the CSV template provided without any modifications. This guide will walk you through the steps of importing users using a CSV file and highlight common mistakes to avoid, ensuring a smooth and error-free experience.
Before you get started with the bulk import, you'll need to ensure that your user data is formatted correctly. To help you out, here is a template CSV file that you can refer to.
Fill in User Data Accurately:
- Enter the user details in the corresponding columns provided in the template. Make sure to follow these guidelines
- Do not add extra columns or rows. Use only the cells provided.
- Leave cells blank if no data is available. Do not enter "N/A," "None," or any other placeholder text.
- Ensure all required fields (e.g., email, name) are filled correctly. Incorrect or missing data can cause the import to fail.
Avoid Unnecessary Formatting Changes:
- Do not use any additional formatting options such as bold text, colored cells, or merged cells. These will interfere with the CSV file's functionality.
- Ensure that the file is saved in .csv format (Comma-Separated Values) without any additional formatting like extra gridlines or hidden cells.
Save the CSV File Correctly:
- After filling in the data, save the file as a CSV (Comma Delimited) file. This is critical. Do not save it as an Excel Workbook (.xlsx) or any other format. Make sure there are no extra blank rows or cells at the end of your data.
Once your data has been checked, you can begin importing your users as follows:
- After logging in to Engage, navigate to the settings section by clicking the cog icon in the top right-hand corner of your screen.
- Using the dashboard on the left-hand side of your screen, navigate to 'Import Users'.
- Upload the information from your CSV file in one of two ways:
Option 1
You can paste the text from your CSV file into the 'Import' box. Once you have pasted the data into the box provided, click 'Import' to start importing your user data.Option 2
Select the CSV file from your computer using the 'Upload' section. Choose the file, then click 'Upload' to confirm your choice.
What's next? When users are imported into Engage, they are all automatically assigned the 'Learner' role in Engage. After adding users to the Engage platform, you will need to assign user roles (e.g. Teacher, Librarian, Admin, Learner, or Finance) to give users like librarians or teachers additional permissions.
