This article is for LIBRARIANS or ADMINISTRATORS who also have the FINANCE role.


If your library purchase type is set to 'Librarian purchasing', your library users can make requests for ebooks they would like your school to purchase for the library by clicking on the ‘Request book’ button under the book that they want.


Librarians and administrators with the Finance role can then manage these requests under the ‘Requests’ section. Once a title is approved, the cost will be deducted from your institution’s available credit.




Reviewing library book requests

  1. Log in to Engage and click 'Finance' at the top of your screen.
  2. Navigate to the the ‘Requests’ page in the Finance section. From here, you can review and manage all title requests.

    Under the 'New' tab, you will see any new requests. Both library and retail requests will appear here; each title will appear with a green tag saying ‘retail’ or ‘library’ so you can distinguish between these two types.
  3. To approve or deny a request, simply select the title and click the 'Approve' or 'Deny' button at the top of your screen.
  4. Once a title is ‘Approved’, the licence will be purchased and the ebook will be added to your institution’s digital library.


Here are a few basics to consider before approving book purchases for the library:

  • Are several students interested in the book or has only one student shown interest and requested it?
  • Is the book extremely expensive?
  • What is the licence period of the book? (Is it 2 years or perpetual? A perpetual licence will justify a higher price.)
  • Is the same title available in the free books?
  • Never buy a collection as a single book – always buy each book separately.


You can also approve library books that were previously denied if, for instance, budget now allows for a book to be purchased.

You'll find these under the 'Denied' tab. Simply select the relevant title to open the book's page, and click the 'Add' button (on the right side of your screen) to purchase the book for your library.
